A Predictive Dialer is an advanced outbound calling system that automatically dials multiple numbers at once, using AI and call algorithms to predict agent availability. 


It increases efficiency by ensuring that agents spend more time talking to live prospects instead of waiting for calls to connect.

How Does a Predictive Dialer Work?

  • Dials Multiple Numbers Simultaneously: The system calls multiple leads at once, ensuring that at least one connects.

How to use it:

  • Login to your CallHippo Dashboard (web.callhippo.com)

  • Go to the Auto Dialer module on the left side.


  • Click on Predictive Dialer where you will find the below modules:

Data Tab: You can import number lists for creating a campaign. Simply click on Upload List to add your data.

On clicking Upload List, will open the popup as shown below: 

Enter the List Name, Upload the Data file as per the template, and then click on the Submit button. 



Clicking on the Submit button will add the data to the List. 

The source will be set to Manual, indicating that the list was imported manually. The Updated field will display the date and time of the import. You also have the option to delete or download the imported list.




Create Campaign: A campaign can be created using the create campaign option.


Follow the below steps to create a campaign: 

  1. Select the List of Data for which you wish to run the campaign. 



  2. This will Auto fetch the Name for the Campaign based on the above list selected. You can still change the Campaign Name. 


  1. You can select the From Number: It can be Numbers, or you select the DID Group.




  2. Select allocation type from Users or Teams.



  3. Call Disposition: Select the dispositions you'd like to assign for this campaign's calls.

The chosen call disposition will appear on the After Call Work (ACW) screen for calls linked to the campaign. By default, all system-defined call dispositions are selected. If needed, dispositions for ongoing campaigns can be modified through the Edit Campaign Settings button.

  1. Set the Timezone Dialing: It allows you to set the start time and End time. It makes sure that the customers are called within the defined time only as per the customer's time zone.



  2. Describe the campaign. It is optional. 

Advanced Settings:

  1. Automatic Machine Detection: The call will be disconnected if the system detects an answering machine on the other end.



  1. Auto Voicemail Drop: If an answering machine is detected and you want to leave an automated voicemail, enable Auto Voicemail Drop. This feature automatically delivers a pre-recorded voicemail when a machine is detected on the recipient's end.


  2. Attempt per Contact: You can ask the system to make other attempts to the numbers after a certain time duration as shown below. 

    - The number of attempts states how many times such contacts shall be reattempted.
    Set hours before attempts defines time in hours to take a pause before the next attempt for the selected calls.
    The attempts are based on Call Status by default. You can change it to Call Disposition or both.

  3. Campaign Mode: You can run the campaign on two modes:

    In Fixed Pacing, the system dials a set number of parallel calls as configured.
    In Auto Pacing, the system dynamically determines the optimal number of parallel calls based on the number of available agents and other backend parameters.



8. Click on the "Save" button to create the campaign Successfully.


Campaign List: All the campaigns that are created can be found under the Campaign List. 

  1. You are all set to start the campaign. Please make sure all the agents have their dialer open. Click on the toggle button to start the campaign.




  2. Once the session is started, the agents will start getting calls on their dialers. 




  3. The agents can change their availability status to take a break and then change it again when they are back.






  1. If you wish to check the status of calls made, just go back to the dashboard and the number of calls made will be visible.

        


  2. You also have the option to edit or delete the campaign, download the report, or view the campaign.


In the View section, you can access the contact details uploaded in the sheet. You can also edit or delete contacts that have not yet been called by the system.


In the Activity Logs section, you can audit the campaign logs, including the timestamp and the name of the person who performed each activity.


Live Calls: Live Calls is a feature within the Predictive Dialer system that displays a list of ongoing calls in active campaigns. It provides detailed insights, including:

  • Total Calls in Campaign

  • Completed Calls

  • Pending Calls

  • Failed Calls

  • Average Call Duration

  • Active Users in the Campaign
