What is User Status

  • The “User Status” defines the logout/unavailability reasons of a user.

  • The "User Status report" provides a comprehensive overview of the status of all users, including any custom statuses that have been added, and can be used to make data-driven decisions that improve business outcomes.

What are the different types of User statuses?

The following are the different types of User statuses that can also be added in User Status under the Setting Module:

  • Break

  • Lunch

  • Personal

  • Training etc.



The report consists of the following:

If a user wants to find the status for 2 users, 5 users, or 100 users, they can select the desired number of users and view the corresponding statuses.

  • User- Name of the user

  • Status- Shows all the statuses or reasons for unavailability. (Break, Lunch, Meeting, Training, custom etc)

  • Login Hours- Number of hours the user was logged into CallHippo.

  • On-Call Time- Number of hours the user was On call into CallHippo.

  • Idle Time- Total idle time (time in which the user did not receive or place any call)

  • Break- Shows the total time spent on break.

  • Lunch- Shows the total time spent on lunch.

  • Logout- If the user has marked the status of logout

  • Meeting- show the time spent in the meeting.

In addition to displaying the statuses for multiple users, this report also includes all the statuses that have been added by the owner/admin in the Settings → “User Status” section. 

With this report, the owner/admin can analyze employee productivity by accessing data on their activity levels, such as how long they were active, inactive, or idle during a given time period, like a week or a month.

Filters:
Users can use the filters below to generate the report at their convenience:

Filter by: User/Team

Select Users: Users can select multiple users or specific teams

Select User Status: Users can select multiple statuses as required in the report

Start and End Date: Select the duration to fetch the report between.



The report can be downloaded by clicking on the "Download" button. This report will be exported in an Excel format.





Frequently asked questions:


Q: What does the User Status Report track, and why would I need it?
A: The User Status Report tracks how users spend their time in CallHippo—whether they’re on calls, idle, on break, at lunch, or in a meeting. It's useful for analyzing productivity and identifying patterns in availability or downtime.

Q: I'm only seeing status info for a few users—why aren’t all my team members showing up?
A: Make sure you’ve selected the correct users or teams in the report filters. If a user isn't selected or if they weren’t active during the selected date range, their data might not appear.

Q: Why is someone’s Login Hours showing zero even though they were working?
A: If Login Hours are zero, the user may not have been logged into CallHippo Dialer during the selected time frame. Double-check the date range and ensure the user was using the platform properly.

Q: One of my agents has very high Idle Time—what does that mean?
A: High Idle Time means the user was logged in but not making or receiving any calls. You might want to discuss with them or check if there were technical issues or unreported breaks.

Q: How do I add a new status like “Field Visit” to be tracked in this report?
A: Only the Owner or Admin can add new statuses. Go to Settings → “User Status” and create your custom status there. It will then be included in future reports.

Q: Why does the report say someone is on “Lunch” for several hours?
A: This likely means the user manually selected the “Lunch” status and forgot to switch back. You might want to remind users to update their status as soon as they return.

Q: Can I view this report for a team instead of users?
A: Yes, use the filter options in the report to select a specific team.

Q: Will it take time to get the User Status Report to be updated?
A: No, the User Status Report updates in real time based on users' current statuses.

Q: When I click on the filter option, it shows the plans to upgrade to.
