The Contacts section in CallHippo makes it easy to organize and manage customer details in one place. You can quickly add a new contact by entering key information such as the full name, phone number, company name, and email address. Each contact can also have multiple phone numbers, making it convenient to keep track of all relevant details.


How to create a contact in the CallHippo dialer?


1. Log in to your CallHippo Dialer.


2. Click on the 3 horizontal lines on the dialer and select the Menu option.



3. Select the ‘Settings’ option.



4. Click on the ‘Add Contact’ icon.



5. You get to enter the following details:

  • Full Name (required): The name of the contact.

  • Phone Number (required): The primary number associated with the contact. You can also add multiple numbers if needed.

  • Company Name (optional): The organization the contact is associated with.

  • Email Address (optional): The contact’s email for additional communication.



6. Click on the correct mark in the top right corner of the dialer.



7. The contact has now been created.



How to create a contact from the call logs?


1. Log in to your CallHippo dialer.

2. Click on the Main Menu icon on the dialer.

3. Click on the ‘All calls / Inbox’ option.

4. Select the call log for the number that you want to save the contact for.

5. Click on the ‘Add’ option.

6. Enter the information of the contact.

7. Click on the correct mark on the top right corner of the dialer screen.

The call log contact is now saved.

Note:

  • If a call is made before saving a number as a contact, the call log will show only the number, not the contact name.

  • However, if the contact is saved before making the call, the call log will display the name associated with that contact.


Searching for a contact in the CallHippo dialer:


1. You will be able to search for a specific contact from the list using the search icon at the top right corner of the dialer.



2. Enter the contact name that you want to search and it will be visible.



3. You can also search for a contact by entering the number.



Note: You cannot search for a contact with the company name or email address saved.


How to modify a created contact?


1. Open the contact you want to edit.

2. Click on the ‘Edit’ icon.



3. Edit the details you want to, and then click on the correct mark visible on the top right corner of the dialer.



The contact is now updated with the edited details.


How to add multiple numbers to the contacts?


1. Once a contact has been created, edit it, and then click on the ‘+’ icon as visible in the screenshot.



2. Enter the second number for the same contact and then click on save.



Note: You can add up to a maximum of 5 phone numbers to a single contact.


Additional Actions via Contacts:

From the Contacts section in the dialer, you can quickly perform essential actions to stay connected and organized. These include:

  • Make a callback directly from the dialer homepage.

  • Send an SMS to the selected contact.

  • Set a call reminder to follow up at a convenient time.

  • Mark the contact as DNC (Do Not Call) to prevent future calls.


Contact Syncing Behavior

Note: CallHippo does not sync contacts from integrations automatically.
Contacts from integrated platforms will only start appearing in your contact list once any calling activity is performed for that specific contact. Until then, the contact will not be visible under the “Contacts” tab.


How to delete a contact?


1. Open the contact that you want to delete.

2. Click on the Delete icon.



3. Click on ‘Yes’ to finalize the contact deletion.



Considerations Before Deleting a Contact:

  • Data Loss: Deleting a contact will remove all associated information, including call logs and notes. Ensure that you no longer need this data before proceeding.

  • Irreversibility: This action is typically irreversible. Double-check that you're deleting the correct contact to prevent accidental loss of important information.

A: Once a contact is deleted, it cannot be recovered.

Q: Can I delete multiple contacts simultaneously?

A: If you're part of a team account, deleting a contact may remove it for all users.

Q: Who can have access to delete the contact?
A: The Owner and Admin typically have full access to manage all aspects of the system, which would likely include the ability to delete contacts.

Q: Can I view the contact’s entire call history in the dialer?
A: No, the dialer only shows limited information. To view detailed call logs, visit the CallHippo web dashboard.

Q: Can I add notes or comments to a contact in the dialer?
A: No, notes or comments cannot be added directly through the dialer. Use the CallHippo dashboard to add detailed notes to contact records.

Q: Can I filter contacts by company name or email address?
A: No, you can only search for contacts by name or phone number. Filtering by company name or email is not supported in the dialer.

Q: Can contacts be shared across other users in the dialer?
A: Yes, contacts created are accessible by other users as well.

Q: I have integrated CallHippo with my CRM, but the contacts are not showing in the dialer.
A: Contacts from integrations will only appear in the dialer after calling activity has taken place with those contacts. Until then, they will not show under the “Contacts” tab.
