What is WhatsApp Business API?

WhatsApp Business API (also known as WABA) is WhatsApp's official solution designed specifically for businesses. Unlike the regular WhatsApp app you use on your phone, the Business API lets companies send and receive messages at scale through integrations and software—without needing to manually operate a phone.

With CallHippo's WhatsApp Business API channel, your team can:

  • Send automated messages, OTPs, order updates, and appointment reminders

  • Run marketing campaigns with approved message templates

  • Manage customer conversations directly from the CallHippo dashboard

  • Integrate WhatsApp messaging into your existing business workflows

Before You Begin — What You'll Need

Make sure you have the following ready before starting the activation:

  • Facebook (Meta) account

  • A Facebook Page linked to your business account (create one for free at facebook.com if you don't already have one)

  • A phone number to register for WhatsApp Business API (must not already be active on any WhatsApp account)

  • Your business name exactly as it appears on your website

  • Your business category

Note: It is recommended to connect using a phone number rather than a display name for faster activation.

Step 5: Log in with the Facebook account that is linked to your Business Manager page.

Step 6: A new page will appear. Click "Continue" to proceed.

Key Things to Know About WhatsApp Business API

1. Message Templates

WhatsApp Business API uses pre-approved message templates for most outgoing messages. There are two types:

  • Utility Templates — Used for OTPs, order confirmations, appointment reminders, shipment tracking, and similar transactional messages.

  • Marketing Templates — Used for promotional and broadcast campaigns. These require prior approval from WhatsApp.

2. Template Approval Timeline

After you submit a message template, WhatsApp typically takes 24–48 hours to review and approve it. Once approved, you can immediately start sending messages using that template.

3. Running Campaigns

Once your templates are approved, you can create and send broadcast campaigns directly from the CallHippo dashboard — reaching multiple customers at once.

4. Message Limits

WhatsApp enforces messaging limits that depend on your account tier and activity level. These limits may increase over time as your account builds a positive engagement history.

5. Facebook Business Manager Requirement

To activate WhatsApp Business API, you need a Facebook Page connected to your personal Facebook account. A fully verified Facebook Business Manager is not mandatory for every step, but having an active Facebook Page is required.

Frequently Asked Questions (FAQs)

Q: What is the difference between WhatsApp and WhatsApp Business API?

A: The regular WhatsApp app is for personal use on a mobile device. WhatsApp Business API (WABA) is built for businesses and allows you to send messages at scale through software integrations — without needing a physical phone to be active. CallHippo supports WhatsApp Business API only; we do not guarantee compatibility with the standard WhatsApp or WhatsApp Business apps.

Q: Do I need a Facebook account to activate WhatsApp Business API?

A: Yes. You at least need a personal Facebook account to create a Facebook Page OR a verified Facebook Business Manager Page linked to your business. If you don't have a Facebook Page, you can create one for free at facebook.com before starting the setup.

Q: Can I use my existing phone number for WhatsApp Business API?

A: Yes, you can — but only if that number is not currently active on any WhatsApp account (personal or business). If your number is already registered with WhatsApp, you will need to delete that account first or use a different number.

Q: I'm getting an error: "Cannot add more channels." What does this mean?

A: This happens when the number of active channels in your account equals the number of seats (licenses) on your plan. Each seat allows one channel. To fix this:

  • Delete an unused channel (such as an SMS channel you no longer need) to free up a slot.

  • Once a slot is free, follow the activation steps above to connect your WhatsApp Business API channel.

Q: I entered the wrong country code when requesting my OTP. What should I do?

A: Do not click "Send Code" if the country code or phone number looks incorrect. Meta sometimes auto-fills the country code, so always verify both fields before proceeding. If you already sent the code to the wrong number, restart the setup process and carefully re-enter your number.

Q: How long does it take for my WhatsApp Business API channel to be activated?

A: The connection itself is near-instant once you complete the steps above. However, if you are submitting message templates for the first time, WhatsApp's approval process typically takes 24–48 hours before those templates can be used for sending.

Q: My message template was rejected. What should I do?

A: If your template is rejected, review the reason provided by WhatsApp in your Meta Business Manager. Common reasons include policy violations, unclear content, or unapproved promotional language. Edit your template based on the feedback and resubmit for review.

Q: Can I send marketing messages to any customer using WhatsApp Business API?

A: You can only send marketing messages to customers who have opted in to receive WhatsApp communications from your business. WhatsApp requires explicit user consent before promotional messages can be sent.

Q: What happens if I disconnect and reconnect my WhatsApp Business API channel?

A: Disconnecting your channel will stop all active WhatsApp messaging. When you reconnect, you will need to go through the activation steps again. Your previously approved templates should remain accessible in your Meta Business Manager.
